Terms and Conditions for VOLVA website and app, content, bookings, services and products.
Please check back on the terms and conditions as they are updated regularly.

 

APPOINTMENTS

When you request an appointment, you will receive an automatic email confirmation of your booking shortly after your request (in some time zones, it may be a little longer due to the time difference/office hours). If there is an issue at all, I will contact you as soon as possible.

First Visit/Initial Consultation

For all new clients and those returning to appointments after 6 months or more, when requesting your first appointment, payment is required be finalised in advance in order to secure your appointment date and time. On receipt of your booking request, you will receive a payment request or invoice where payment can be made securely online by debit/credit card, PayPal or BACS. Payment must be received by the 10am on the Monday preceeding your requested appointment date before your appointment can be confirmed - only when payment is received can your appointment request be approved, booked and secured. 

 

If your first visit request was declined due to non-payment in advance, this does not automatically mean we cannot work together but please be aware that any future appointment requests for new clients are subject to the same conditions. If there more than 2 requests for a first visit without finalisation of advance payment, all future requests will be automatically declined and we are unable to work together.

 

If booking an appointment directly with myself by telephone, email or text, this can be paid securely by PayPal link, credit/debit card, BACS or over the phone. This also applies to bookings for Remote Sessions for all clients including existing, new or returning to consultations.

At the beginning of your appointment, we will have a short chat and you may be asked a few questions. This provides a general background to your query for readings and psychic assessments. Please note that some personal information may be required and this is strictly private and confidential. This is an opportunity to explore whether we feel we would like to move forward together and both parties are free to say either yes or no to working together, without expectation or judgement.​

Declined Booking Requests

On the rare occasion that your booking is declined, this does not automatically mean we cannot work together; it may mean that payment has not been finalised or the date and time you requested is unavailable for the requested service. It may mean that I need a little more information to assess whether I can read for you, or that you have requested a specialised service that requires a telephone consultation before your first appointment or that there is a waiting list for the service you requested. The reasons for declining your booking request will be given in the email. More information on declined bookings is available here.

Restrictions/Limitations/Adaptations

Please let me know at the time of booking, either on the notes section when booking online or by contacting me directly, if there are any physical, mental or emotional restrictions, limitations, adaptations or special requirements for your treatment. As a professional practitioner, it is important to me that I am able to provide the best possible environment for you.

​

Please note that if attending an appointment in person, the location is not wheelchair accessible and there are stairs to the reading room & apothecary. Many of my clients are unable to attend in person and remote appointments, either by phone or Zoom, are available.

​

Illness

If you are suffering from a cold or other contractible infection or disease, please do not book or attend an in person appointment until your symptoms have subsided and you are well again. If you need to reschedule or cancel your appointment, please see the terms for cancellation and rescheduling below.

​

BOOKING

Same Day Booking

Appointments booked online with less than 24 hours notice (for example, appointments booked in the morning for the afternoon of the same day) are not guaranteed to be fulfilled. If you would like to book on the day, please contact me in the first instance for availability.

​

Reschedule, Cancellation and Missed Appointments - Notification

The conditions for reschedule, cancellation and missed appointments apply to all appointments, including remote consultations, whether they have been booked directly with myself, online or at a centre. Please note that 48 hours notice of reschedule or cancellation is requested and at least 24 hours notice of cancellation is required. If you have a Member account, this can be done through the online booking system (if you have booked online) by logging in to your account. It can also be done by contacting me directly by telephone, email or text. Please do not notify of cancellation of appointments through social media (Facebook, Twitter, Instagram) as messages may not be received in time.

 

Reschedule, Cancellation and Missed Appointments - Fees

If less than 24 hours notice of reschedule or cancellation is given, a fee will be charged. The fee is the deposit for the service booked.​

If less than 12 hours notice of reschedule or cancellation is given, the full service cost will be charged and an invoice for the outstanding amount is issued. Swift settlement is appreciated.

Missed appointments are also subject to a fee of the full service cost. Payment can be made by the accepted payment methods.

Please be aware that the fees above also apply to late notice cancellations and rescheduling as a result of receiving a positive result from a COVID test. To avoid late notice fees for cancellation or rescheduling your appointment, you may wish to avoid testing or consider testing days before your appointment so that you are able to give sufficient notice if you wish to cancel. 

​

Notice period of cancellation for block bookings: All block bookings are subject to 2 weeks notice of cancellation. This is also applicable if you have attended part of the block and wish to cancel the remaining secured appointments. If less than 2 weeks notice of cancellation is given, the early cancellation fee for either a 4, 8 or 12 week block fee is 50% of the service cost.

Transferring an Appointment

Appointment bookings can be transferred. If you have booked an appointment for yourself but would like to transfer your appointment to a family member or friend, 48 hours notice of transferring your appointment is required from both yourself, the client whose name the appointment is originally booked under, and from the person to whom the appointment is being transferred to, giving their agreement to attending the appointment and consenting to the terms and conditions of booking. Notification is to be directly with myself or through the website here.

 

Early & Late Arrival

Please arrive at the time of your appointment if attending in person. There is no waiting area at the venue so if you arrive early you will be unable to enter until your appointment time.

If you arrive late for your appointment, the session will continue to end at the scheduled time.

 

SUPPORT PLANS

Support plans are intended to provide you with the best possible support and guidance. They are carefully and considerately planned, specific to the plan, of dedicated sessions over the course the plan. The benefit of support plans is that your sessions are given booking priority and are booked in advance. This ensures your sessions are cohesive and regular providing the best possible treatment. If you are unable to make a session of a week, please allow 48 hours notice and I will try to reschedule that session for the same week - the session cannot be carried over to the following week. If you cancel or miss an appointment, it cannot be carried over to the following week. This is due to limited appointment availability and there is sometimes a waiting list for appointments. The appointment cost for a missed appointment is non refundable. Please see Reschedule, Cancellation and Missed Appointments above. Support plans are non transferable.​

 

GIFT CARDS / VOUCHERS

Gift Cards are valid for 6 months from the purchase date – this date will be on the voucher.

E-vouchers provide a download link to the voucher in the e-mail confirmation of your order. This link is active for 30 days after purchase - after this time the link is no longer valid and you will not be able to access the e-card and replacements and/or refunds will not be issued.

E-cards can be redeemed online using the order number in the email - please add this to the 'redeem gift voucher' at checkout. Gift vouchers and E-cards are non transferable, non refundable and cannot be exchanged for cash equivalence.

 

COURSES, EVENTS AND WORKSHOPS

Ticket purchase is required to secure your place on all training courses and workshops and this is payable when booking online, securely via PayPal or credit or debit card. If you are booking via email or over the phone, this can be paid securely over the phone or via payment request link. For short events/workshops, tickets purchased online are non refundable and non transferable. In the event that you are unable to attend the event, the ticket is non refundable and not transferable to another date.

Booking

Please note that your place for an event, workshop or course is only secured when the ticket cost is paid. If you have expressed an interest or have asked that a place be secured for you for an event, workshop or course by email, telephone, text or social media, your place is only secured once payment has been finalised and you have received confirmation by email or receipt.

Please note that if you have seen the event, workshop or course advertised on social media, including Facebook, Instagram, YouTube and X (Twitter), your place is not secured if you select ‘Going’ on the Facebook event page, liking the event tweet or requesting a place to be held for you via social media/post comments. It is only secured once payment has been finalised and you have received confirmation by email or receipt.

 

Course Cancellation

If you have booked your place on a course and are unable to attend, at least 14 days notification of cancellation is required. If less than 14 days notice of cancellation is given, 50% of the event ticket cost is refunded. The ticket cost is non returnable with less than 7 days notice of cancellation. For one to one Reiki training courses, if you miss the course without notice, an additional missed fee of £35 is applied.

Rescheduling

If you are unable to attend the course date you have booked and would like to attend the next scheduled course date, please give at least 14 days notice – there is no fee to reschedule for an upcoming course with 14 or more days notice. Please note this does not apply to circle events or short workshops. With less than 14 days notice, there is a fee of £35 in addition to the ticket cost. If you give less than 7 days notice of rescheduling, 50% of the ticket cost is non returnable and a fee of £35 in addition to the remaining 50% ticket cost, is required to secure your place on the next scheduled course.

 

SITE MEMBERSHIP AND APP

The Site Membership and Log In Account functions are generally intended for people who use VOLVA services but can be available to those interested in connecting with a small community of like minded people. On requesting Site Membership your request is emailed to VOLVA pending approval - approval is not automatic and you may be emailed for more information and approval for Site Membership is at the discretion of VOLVA and is not guaranteed on request. Site Membership approval is on the understanding that you are agreeing to be contacted by VOLVA for email communication.

Members pages are available to view for members and this means when you create a membership account, your profile is available to view by other members. Your private information remains private and no members or staff/practitioners at VOLVA can view your address, payment account, appointments, orders, events or subscriptions details. If you have forgotten your password, VOLVA is unable to retrieve this for you - you must create a new password when prompted.

All terms and conditions outlined here are applicable to bookings, purchases and interaction on the App. 

 

​Psychic Services

VOLVA cannot assume any legal liability for any damages, alleged damages, losses or other direct or indirect consequences of any client decisions and/or actions, subsequent to, or based on any of VOLVA’s services. Your participation in this site and any products and services offered and employed by you are subject to the above terms and understanding, and is at your own risk.

Psychic, Spiritual, Dowsing, Tarot and Intuitive Services and Products are not offered to be followed as a particular course of action, or an attempt to exert any form of influence over your free will and common sense. It is required that VOLVA states that they are presented for leisure, amusement or entertainment purposes only. They are not medical advice or life guidance. They are intuitive services and are not medical tests or assessments. VOLVA services do not claim to diagnose any medical condition and VOLVA do not give professional medical advice. Any decisions or actions taken by you as a result of VOLVA's psychic and intuitive Services, including divination and dowsing assessments and all of VOLVA services, is your sole responsibility. It is only with the complete understanding and acceptance of this that these services can be provided.

ALL PRODUCTS OFFERED FOR SALE

These are the terms and conditions of our agreement which apply to all purchases of products by you from VOLVA via this website and you should read them carefully. By placing an order, you agree to and accept these terms and conditions. To purchase from VOLVA you must be resident in the United Kingdom. Some of the products on sale via this website are only available to existing clients - please see details below in The Apothecary section. The products advertised on this website are intended for sale to persons dealing as consumers and are not for re-sale.

The description and specification of products on this website is approximate and VOLVA endeavour to ensure that any variation in the specification of the products does not adversely affect the performance of products supplied. To the best of VOLVA's knowledge the product descriptions on the site are accurate and up to date. VOLVA reserves the right to make changes which do not materially affect the quality or performance of those products. Images of products on the site are to help give an indication of appearance however all product images shown are for illustration purposes only. All measurements and weights are approximate.

Price and availability of products are subject to change and VOLVA reserve the right to withdraw any product from sale or to correct any error on the website without notice and without incurring any liability. The prices given in the product list, sales literature and web site are for information purposes only and do not represent an offer. No contract will come into existence until the customer's order is accepted. Invoices will be raised for prices current at the time of order. The price of the products will be the price quoted on the website at the time of acceptance of your order except in the case of manifest error.

VOLVA will notify you of our acceptance of your order by email shortly after it is received and at that point a binding agreement between us will be in place based on these terms and conditions. If VOLVA do not accept your order for any reason or the price of the product has increased between the time of the order and our acceptance of it (or if a supplementary delivery charge applies), VOLVA will email you to advise you of the change and you will then need to confirm your amended order.

Payment of the price of an order must be received by VOLVA and cleared before delivery, except where payment is agreed to be paid in person when the goods are to be uplifted by you. Payment can be made by any major credit or debit card and PayPal and will be debited and cleared from your account before the despatch of your goods. All credit/debit card holders are subject to validation checks and authorisation by the card issuer. If the issuer of your payment card refuses to authorise payment to us, VOLVA will not be liable for any delay or non-delivery.

 

THE APOTHECARY
Some of the products on sale via this website are for existing clients only - please get in touch if you would like to discuss becoming a client. This does not necessarily mean attending an appointment but a consultation form must be completed. It is the responsibility of the customer and consumer to ensure that the products are appropriately used. There is clear information on each product listing as to their uses. No product listed is intended for internal use, cosmetic/skin application or as medication or food. If you use VOLVA products in any other capacity than stated it is as at your own risk and VOLVA is not liable.

The term medicines is used throughout VOLVA's practice. It is not reflective of the conventional description but it is the holistic definition of a tonic to the soul. It is an important distinction. With this in mind, the products and services offered are not a substitute for professional medical advice, examination, diagnosis, medication or treatment. No products or services presented on this site are intended to treat, cure or prevent any disease. VOLVA products and services do not claim to cure any medical condition and VOLVA do not give professional medical advice. VOLVA is not a medical service and therefore does not diagnose disease or prescribe medication.

PRIVACY POLICY

Any information you share during your appointment, including during your consultation and in any post appointment discussions, is strictly private and confidential. The information you provide is used to assess the best possible service for you. Please ensure that any private information you share is during appointment times only and not in email, text or other forms of communication - for more details, please visit the Digital Policy

Only VOLVA's practitioner has access to your personal information during consultations - for information on sessions conducted remotely via Zoom/Skype, please see the Digital Policy.

 

Should you also be receiving a service from another practitioner and/or professional and you want an integrative aspect to your treatments, records are not disclosed to any other practitioner without your written permission. When sharing records that contain personal or sensitive data with other practitioners and/or health professionals for the purposes of administration or treatment, it is made clear by VOLVA to the practitioner and/or health professional that this data is confidential and that you have given your written consent.

Mailing List and Updates subscription

Only your first name, surname and email address are used for mailing list subscriptions and there is always an option to opt out. These are the details held by either VOLVA's own website or a third party marketing site such as MailChimp or Wix and have been shared with your consent during opt in and for the purposes of marketing and/or newsletter updates only. You can opt out of VOLVA newsletters at any time by visiting the unsubscribe link at the bottom of any newsletter or by contacting VOLVA. Your privacy and data is respected. Please see MailChimp privacy policy and Wix.com on how your data is used and safeguarded.

Cookies and Analytics

Web cookies are used when you visit the website and these are those that strictly necessary. Other data may be obtained by website Analytics and Google Analytics which are used to determine website engagement. On visiting the website you have the choice to Accept or Decline these. Please see their privacy policy on how your data is used and safeguarded.

 

Online Booking

Your contact details are stored on the online booking system and are used solely for booking purposes and appointment reminders. Only VOLVA and its website booking system has access to your booking details.

 

Electronic Communications (Email)

Emails are sent via an encrypted provider, GoogleMail/GMail, to ensure secure electronic communications and to protect the content from being read by other entities than the intended recipients. Due to the nature of VOLVA services and to maintain the confidentiality of these services, some email communications from VOLVA may not be sent to non encrypted email - it is worthwhile checking whether your email software is encrypted. Please do not share private and confidential information over e-communications - these should be limited to within your appointment time. Please see the Digital Policy for full details on how digital communications are approached and managed.

 

Storage

Your data is stored securely, both electronically and paper, with either password protection and/or locked storage. Email communications are encrypted and attachments pertaining to distance sessions or personal consultation may be password protected.

You have the right to access any data on file, with the information supplied within one month of your request. Your personal data is held for 10 years, or otherwise subject to the legal/contractual obligations outlined by professional membership and/or insurance bodies. After this time, all personal data is confidentially disposed of securely.
